We're looking for a full-time Student Services Advisor to join our team. Reporting to the Head of Upper School, you'll be providing a wide range of support to the Upper School student population, guiding them through their high school experience. You'll be a key administrative support to the University Counselling Services and the Teaching and Learning Departments and responsible to oversee and coordinate the creation and maintenance of student records, ensuring the highest level of accuracy and compliance with the Ministry of Education, post-secondary institutions and Bayview Glen policies and processes.

What You'll Be Doing:
· Ensuring that all student information is recorded in individual student files and Ontario Student Records (OSR) policy documents are accurate and up-to-date;
· Managing data entry of all student course information and academic records in the School's database;
· Ensuring paperwork is completed and accurate for Prerequisite Course Exemptions and Compulsory Credit Substitutions;
· Assisting with the submission of provincial government reporting;
· Preparing current student transcripts and/or credit summaries and alumni transcripts as requested;
· Overseeing report card process, assisting school administrative assistants to complete the process as necessary;
· Assessing, monitoring and verifying graduation and BVG Diploma requirements are met by each Upper School student, including compulsory credits, prerequisite courses verification and community service hours in consultation with the Head of Upper School and the Director of University Counselling;
· Overseeing the completion and entry of course selection requests, including changes to course selections, and reviewing credit and prerequisite requirements of submissions;
· Implementing course change forms and update timetables;
· Advising students regarding outside credits and tracking and recording external credits once completed;
· Tracking Grade 12 post-secondary applications from start to finish, including updates to OUAC and OCAS database, monitoring conditions as outlined in acceptance letters and scholarship offers, etc.
· Overseeing the Community Service Program;
· Overseeing the School's Advanced Placement (AP) programme including registration, ensuring AP Classrooms are setup, exam ordering, and exam organization;
· Co-ordinating and liaising with AP College Board as needed to ensure smooth facilitation of programme at Bayview Glen.
What You'll Need:
· Post-Secondary diploma/degree in administration, counselling or education;
· A minimum of two years of relevant experience with student services;
· A demonstrated understanding of the social-emotional development of teenagers coupled with an understanding and interest in the role post-secondary and career planning plays in the lives of students;
· Proficiency in standard desktop software (MS Office) and specialized student databases;
· Knowledge of general administrative practices and standards and specific administrative policies and procedures of the School;
· Ability to prioritize tasks in a fast-paced environment while demonstrating problem solving, initiative, creativity and adaptability;
· A continuous improvement mindset with a willingness to help develop and enhance existing policies and procedures;
· Strong interpersonal and communication skills to respond appropriately to requests for information from students, parents and other stakeholders and to build effective relationships with the student and parent populations;
· Strong attention to detail with an ability to work collaboratively with all School departments to maintain current and accurate student records, ensuring students graduate with specified diploma requirements.
