About the Role

ProSearch is hiring a Part-Time Administrative Assistant on behalf of a well-respected nonprofit organization located in Westbrook, Maine. This is an excellent opportunity to join a small, mission-focused team dedicated to community impact and mental wellness.

Schedule: Monday through Friday | Daytime hours | 20 hours per week

Job Type: Part-Time | Temp-to-Hire

Pay: $23.00 to $25.00 per hour

Responsibilities

Administrative and Office Support

  • Manage office supply inventory and place orders as needed
  • Track expenses and process invoices
  • Coordinate and schedule internal team meetings
  • Maintain filing systems and ensure accuracy of records

Donor and Volunteer Communication

  • Communicate with donors and volunteers via phone, email, and mail
  • Assist with donor acknowledgment and recognition mailings
  • Provide updates and manage inquiries through the volunteer portal

Event and Fundraising Support

  • Support planning and logistics for fundraising and volunteer events
  • Coordinate event registration and communication with attendees
  • Organize raffle prize donations and related materials
  • Help with event setup, breakdown, and follow-up

Team Collaboration

  • Provide administrative assistance to a small and collaborative philanthropy team
  • Support internal processes that promote a productive and mission-driven work environment

Qualifications

  • At least one year of experience in an administrative or office support role
  • Strong written and verbal communication skills
  • High level of attention to detail and ability to multitask
  • Comfortable working independently and collaboratively in a fast-paced environment
  • Passion for nonprofit work and community impact
  • Must be able to reliably commute to Westbrook, Maine
